Master Class for Project Management & B2B Event Setup distills AladdinB2B’s end-to-end playbook for running meeting-driven events with partners, exhibitors, and organizers. We start with the non-negotiable foundation: a clear Scope of Work (SOW) shared after signature/payment. The SOW captures “who does what,” roles, contacts (including mobile numbers), and dated milestones. From there, managers enforce execution using Aladdin’s project templates—ensuring every setup step is traceable and repeatable.

You’ll learn portal setup discipline: use the client’s official event name and description (sourced from their website), keep URLs short when needed, and ensure desktop and mobile branding is correct (iOS/Android views, logo/background sizes). Because many engagements are non-public, only invited registrants are imported, and only participants with meetings see agendas. Prioritize data readiness: create categories (fixed list) and keywords (flexible) together; import in batches (Batch 1, Batch 2…) to avoid duplicates and to allow the call center to start early. Start with high-value roles (CEOs, VPs) and pre-authorize them first.

The Aladdin Matching System is the engine: aim for layered quality—ITB (Ideal Target Buyer) matches, PPA (buy/sell) matches, two-side selects, and (soon) AI-suggested matches. Use minimum selection rules (e.g., 10 or 20%) to guarantee a meeting pipeline, and let “select a specific person” drive better department/role alignment. For logistics, calculate tables using: Tables ≈ (Total Meetings ÷ Event Days) ÷ 4 peak hours, then provision ~80% of that number (e.g., 200 meetings over 2 days → 25/hour → deploy ~20 tables).

Finally, configure Auto-Scheduling: 30-minute meetings, sensible buffer (10–15 minutes), cluster meetings close together, define location names, decide on duplicates/merge logic, and disable mass auto-requests when the event shouldn’t email broadly. Validate notifications (web/email/mobile) and maintain visibility defaults unless a special rule is required. By the end, you’ll confidently deliver qualified, on-time meetings that stakeholders can trust.
