In today’s meeting, the focus is on optimizing the scheduling process for group meetings, particularly for the Japan project. We are implementing a new feature that allows us to define specific availability times for groups of companies involved in our projects. This feature will help streamline our meeting scheduling and ensure that discussions occur within designated timeframes.
Participants can create groups and set the availability of the companies within these groups. For example, one might set the availability for two companies from October 23rd to November 10th, between 3 PM and 8 PM. When scheduling a meeting, the system checks the availability of each selected contact and the group settings. If one company is available on a Monday and Tuesday, and the other is only available on those days, the meeting can only be scheduled on those specific days.
Additionally, the new group feature allows for more advanced criteria when scheduling meetings. This means that if a group has defined availability, it will limit meeting times to only those specified. For instance, if a group is set to be available only until November 1st, the system will not suggest any meeting times beyond that date, thereby ensuring that all meetings occur within the specified timeframe. This structured approach will help improve efficiency in scheduling and reduce conflicts in availability.
