How To Manage Your Files

In our ongoing effort to enhance the efficiency of our operations at Aladdin Academy, I wanted to address a challenge many of you may encounter while recording and managing videos, particularly through Zoom. Uploading multiple videos to the drive after downloading them from Zoom can be a time-consuming task. To simplify this process, I’ve devised a solution that involves creating specific folders for each department and directly saving Zoom recordings into designated Google Drive folders. Let me guide you through the steps to make this workflow seamless.

The first step is to install Google Drive for desktop. This ensures that you have a synchronized version of your Google Drive accessible directly on your computer. I’ve created a tutorial video detailing the installation process, which you can find on YouTube by searching for “how to download Google Drive to desktop.”

Once installed, you’ll have a virtual representation of your Google Drive on your desktop. Here, you can easily tag folders for quick identification. In my demonstration, I’ve tagged our shared folder as “Aladdin Academy” and arranged the folders accordingly. Tags make it easy to find specific folders, streamlining your workflow.

To implement this system for your department, navigate to the folder where you want your Zoom recordings stored. For demonstration purposes, I’ve created a folder named “Zoom Recording” within the Aladdin Academy directory. You can easily locate and access this folder through the Google Drive on your desktop.

Now, when recording a video in Zoom, choose to save it to your desktop rather than the cloud. The key to the process lies in changing the Zoom recording location on your desktop to the designated Google Drive folder. Access your Zoom settings, navigate to the recording tab, and click on the folder URL. From there, you can select the folder you’ve created within Google Drive.

As a result, all your Zoom recordings will be automatically saved directly to the designated folder. This eliminates the need for a separate download and upload process, saving significant time and effort. By adopting this method, you not only enhance efficiency but also reduce the likelihood of delays in uploading videos due to a busy schedule.

I understand that demonstrating this process through Zoom might be challenging, but if you follow the instructions outlined here, you should be able to easily navigate the settings and make the necessary changes. By implementing this streamlined approach, we aim to make video recording and storage a more efficient and user-friendly experience for everyone.
