Auto Scheduling Feature – Live Demo

This recording demonstrates the functionality of the Auto Scheduling and Auto Meeting Request features within the AladdinB2B platform. Using three dummy companies for simulation, the recording walks through how the system automatically creates, schedules, and manages meetings between users without manual intervention once the correct settings are configured.

The demonstration begins with setting up the meeting configuration under Settings → Meetings, ensuring that Auto Scheduling and Auto Meeting Requests are enabled. Meeting duration, location defaults, schedule policies, buffer times, and duplicate handling options are defined. Once configured, the system can automatically schedule meetings whenever there is a two-side select—that is, when both companies mutually select each other as preferred meeting partners.

In the test scenario, three companies, Company 1, Company 2, and Company 3—were created with associated dummy users and emails to simulate real interactions. When Company 1 selected Company 2, and Company 2 selected Company 1, the system instantly generated and scheduled a meeting between them. The meeting appeared on the agenda with a “created by system user” tag, confirming automation success.

The Auto Meeting Request feature was also tested. When a company selects another, the selected company receives an automated email prompt with options to accept the meeting directly or view all meeting requests. Once accepted, the system immediately finalizes and schedules the meeting automatically. This ensures seamless, real-time coordination and eliminates the need for manual confirmation.

Together, these features optimize event management by automating repetitive scheduling tasks, improving user experience, and ensuring timely, accurate meeting setups, significantly reducing administrative workload for organizers and participants alike.
